Unit 441 Board Meeting Minutes 10-3-10
Present: Helen Miller, Greg Trautman, Ralph Wilhelmi, David Fallen, Alex Rajala, Phil Clark, and Jim Remy,
Absent: Fay Bronson
1. Pow-wow report –
The street address should be on the flyer next year for those using GPS to find the place.
Having a knockout game was proposed. Board members noted it had been tried in the past. We ended up with two small brackets and it diluted the pair games. The Board decided not to have a knockout game at the Pow-wow.
Start time change to 1:00 and 7:00 on Friday was approved. There were complaints about the 7:30 start time making the game run too late.
Many people expressed their appreciation for Fay and all the work she does at the Pow-wow. The Swiss team lunch was wonderful. It is hoped that next year we can get more people to help out. Several names were mentioned expressing an interest in helping. David will make a list of Fay’s helpers and the board approved that they will all get a free play. The Board also approved a gift for Fay. Ralph will find out what might be appreciated by Fay.
Treasurer report for Pow-wow is that we had 305 tables, 6 more than last year. We took in over $11,000. After expenses for the Pow-wow we made $1300. (Last year we made $700). We have the fairground for the next two years. The Board approved Greg trying to get a contract for the fairground for 2013.
Linda Cole may not be available to provide tables and bid boxes next year. We will need to find a fall back. Occasions by Jenny and the Tacoma unit were mentioned as possibilities.
The outside signs for the Pow-wow are stored upstairs and can be used again next year.
2. Treasurer report -
We have about $8200 in the bank. We have been building up some balance. Having a charity international fund game was mentioned but no decision was made.
3. Old business –
We are using bridge mates at the unit games. They are on loan from Unit 451. Proposal was made that we purchase our own bridge mates. They cost quite a bit and the Board hopes the cost will come down. It was also noted that new versions are coming out. It was decided to not purchase bridge mates at this time because we can use some for free and they are too expensive when the unit only has one game a month. We do want to express appreciation for the loan of the bridge mates by announcing the University Place games at our unit games. University Place usually has their games the 3rd Sunday of the month.
Rental at South Sound Manor – The contract ends in December. We now pay $200 and the new contract is requesting $250. Games may need to be held in the other building if the space we currently use is booked for a wedding. We can still store the tables, etc. upstairs. The Board approved continuing the contract with South Sound Manor if the costs stay in the $250 range.
4. New business –
Our unit and the Grays Harbor Unit have been requested to participate in the Seattle nationals by providing 20 volunteers for one day. They also would like things from the chamber of commerce for the goodie bag. The Board decided to tell them we are interested, but need to know more details before committing.
A Grays Harbor sectional is being considered. It used to be near St. Patrick’s’ Day. The board has no objection to a Grays Harbor sectional if it is off season and not near the time of the Pow-wow.
The newcomer welcome day was postponed until the January meeting which will be on January 2nd. We will combine it with our annual dinner. Jim will research having it catered by Pelligrino’s. Nancy will check with Trans Dynasty where we went last year. The Board approved free plays in January for the new players (people who have never gotten a free play before).
We discussed the trophies. There are 3 trophies, two for the Pow-wow and one for the unit game. The board agreed that only unit member’s names go on the 99’er trophy for the Pow-wow. Names outside the unit are on the overall trophy for the Pow-wow.
January all member meeting – Helen would like to talk about ACBL and the unit. Greg will get the financial report to Alex because he probably will be unable to attend. We briefly discussed who may be up for election. Alex will look it up.
